Uploading a test station's certificates
This page is for garage owners and Authorised Examiners who want to store a station's certificates in MOTLogs, such as calibration or equipment certificates, so they are on hand for a DVSA audit.
Where do I upload a certificate for a station?
- Open Test stations in the sidebar and choose the Organisation.
- Click the station's row. It must be verified.
- Open the Certificates tab.
The tab has a form headed Certificates on the left and a list headed Certificates List on the right. The list says "No certificates for this station yet." until you add one.
To see all certificates for a whole organisation in one place, use the page described in Compliance certificates list.
How do I add a certificate?
- Select New to clear the form.
- Choose a Certificate Type from the dropdown. The choices are the station certificate types MOTLogs knows about.
- Under Upload Certificate, select Browse and choose the file.
- Set From (the date the certificate starts) and To (the date it expires). To defaults to
31-Dec-9999, meaning no end. Set a real expiry date for a certificate that expires. - Select Submit Certificate.
MOTLogs shows "The certificates have now been saved" and the certificate appears in the list.
What files can I upload?
| File | Limit |
|---|---|
.pdf |
10 MB. A PDF is stored exactly as uploaded |
.png, .jpg, .jpeg |
Resized to fit within 320 by 240 pixels before saving |
Because images are shrunk to 320 by 240, a photographed certificate can become hard to read. Upload a PDF whenever you can.
Once a file is chosen, the upload box shows a preview and disappears. To use a different file, select New and start again.
What if the save is refused?
- No file chosen: "Please upload a certificate."
- No type chosen: "Please pick a certificate type."
Both are checked before anything is sent. Fix the form and select Submit Certificate again.
How do I download, change or remove a certificate?
- Download: select the download icon (an arrow into a tray) at the start of the row. The file opens in a new browser tab.
- View or change: when the tab opens, MOTLogs loads the first certificate in the list into the form. Clicking other rows does not load them. To correct a certificate, remove it and add it again with New.
- Remove: select Click to remove (a minus in a circle) to end the certificate now. It stays in the list, and Click to reinstate (a plus in a circle) brings it back.
The list columns are Certificate Type, a start date and an end date. Use Search to find a row. The Current toolbar button switches between the default view and a view that includes older records. Its label does not change when you use it.
