Viewing your documents
This page is for station owners, Authorised Examiners (AEs) and quality control managers who want to find the documents MOTLogs holds for their stations.
Where do I find my documents?
Open Documents in the sidebar of the signed-in area (the folder icon). The page is headed Documents with the sub-title "Documents held for your stations", followed by the organisation, station and month you are looking at.
The page lists every document held for the stations in your current scope. You change the scope with the scope picker at the top of the screen: choose an organisation, then either one station or All stations. The list reloads when you change the scope.
If you have no organisation linked to your account, the page says "No organisation is linked to your account yet." If you have organisations but none is chosen, it says "Choose an organisation to see documents." Choose one in the scope picker to continue. For background on terms such as AE and station, see the glossary.
What columns does the document list show?
The list is a table with these columns visible by default:
- Station ID: the site number of the station.
- Station Name: the trading name of the station.
- Document: the friendly name of the document, for example
Attested - 12345 - Sep 2026. - Type: a short label for the file type, such as
PDF,CSV,ExcelorWord. Other types show the part after the slash in the file's media type, in capitals. - Size: the file size. Files under 1 MB show whole kilobytes (for example
84 KB); larger files show one decimal place in MB or GB (for example1.2 MB). - Created on: the date and time the document was recorded.
A narrow first column holds a download icon for each row. Use the column chooser in the table toolbar to show other columns, such as the stored file name, version or who actioned the document.
How do I search, sort and page through documents?
The table has a Search box in its toolbar. Type part of a station name, document name or station ID and the table filters as you search.
Click a column heading to sort by that column. Click it again to reverse the order. New documents appear first by default.
The pager at the bottom shows 15 rows per page. You can change this to 5, 10, 20, 50 or All.
On a phone or a narrow window the table switches to a stacked layout, with one card per document.
What does an empty document list mean?
If the page shows "No documents yet. A document is created each time a month is signed off.", MOTLogs holds no document for the stations in your current scope. The most common causes are listed in Why a document is missing or will not download. The wording says "uploaded" but you cannot upload documents on this page. See Where documents come from.
