Working with several stations and organisations

This page is for owners and managers who run more than one test station, or belong to more than one organisation, and want to know how MOTLogs decides what to show.

How do organisations and stations relate?

A test station belongs to an organisation through a link. One organisation can have many stations. You can also belong to many organisations, for example if you are a consultant for several garages.

You manage the links in two places:

What is the scope picker?

On the data pages (Compliance, Performance, MOT test logs, At-risk, Testers, TQI, Vehicles, Documents and Certificates) the top bar shows a button with the current organisation, the station (or "All sites") and the month. Select it to open a panel with three lists:

The note at the bottom reads "Applies to every page in this section." Your choice carries from page to page, so you set it once.

What happens when I change organisation?

When you change Organisation, MOTLogs reloads that organisation's stations, resets Station to All stations, and moves Month to the latest month that has data. Changing Station or Month keeps the rest as it was.

MOTLogs remembers your last organisation, station and month and returns to them next time. If you are no longer in that organisation, it picks a default one.

Why is a station or organisation missing from the picker?

The picker lists only verified links:

Missing item Cause Fix
An organisation You have not accepted the invitation yet Open Organisations and select Click to accept
A station The station link is not verified, or has been removed Open Test stations, choose the organisation and select Click to verify, or reinstate it from Removed
The picker itself Your account has no accepted organisation. Section pages show "No organisation is linked to your account yet." Create or accept an organisation

The Test stations and Organisations pages do not use the scope picker. Test stations has its own Organisation and Station selectors at the top of the page. Its Station list may lack a station created in the last 3 months.

How do I look at all my stations together?

Choose the organisation, then leave Station on All stations. The scope button then reads "All sites" followed by the number of stations. Pages such as Performance and MOT test logs combine every station in that organisation.

To combine stations from two different organisations, you cannot: each view covers one organisation. Switch the organisation instead.

Actions that apply to one station only, such as Sign Off, need a single station chosen.
